1. Who we are

This Privacy Policy describes how Voolt Technologies Limited ("Agentez," "we," "us," or "our"), with registered address at 1122 International Blvd Suite 700, Burlington, Ontario, Canada L7L 6Z8, collects, uses, shares, and protects personal information when you use our website and web application (www.agentez.com) and the related notification services (the "Service").

We are the data controller for the personal information described in this policy.

This Privacy Policy should be read together with our Terms of Service.

2. What Agentez does (so you understand the data flows)

Agentez is an AI-powered platform that helps small businesses create and manage their Google Business Profile, respond to reviews, manage leads and customers, handle invoicing, and publish to social media. The Service is delivered through our web application (with a mobile app planned for the future).

To keep you informed about activity in your account, Agentez can send you notifications by SMS text message and by email, based on the contact details and consent you provide in your account settings.

You may interact with an AI agent within the Service rather than a human. Our agents use large language models and automated processing to generate content and respond within the platform. A human team member is available on request — contact support@agentez.com.

3. Information we collect

3.1 Information you provide directly

  • Identity: name, business name, role
  • Contact: mobile phone number, email address, business address
  • Business information: industry, services offered, hours, photos, descriptions, pricing
  • Customer relationship data you upload: customer names, contact info, appointment and lead history (only when you use our CRM, Leads, Scheduling, or Invoicing features)
  • Payment information: processed by our payment processor Stripe — we never see or store full card numbers
  • Content you submit within the Service

3.2 Information collected automatically

  • Messaging metadata: SMS delivery status, timestamps, and message identifiers (provided by our SMS provider Twilio); email open, delivery, and engagement metadata (provided by our email providers)
  • Website and app analytics: pages visited, time on page, referrer, approximate location (city-level), device type, browser, operating system — collected via Google Analytics 4 and Meta Pixel
  • Cookies and similar technologies: see Section 10
  • Server logs: IP address, request timestamps, error logs

3.3 Information from third parties

  • Google Business Profile data: if you authorize us to manage your Google Business Profile, we receive listing data, reviews, photos, and insights from Google via their official APIs
  • Connected social accounts: if you connect a social profile (e.g., a Facebook Page), we receive the data needed to surface comments and activity, per the permissions you grant

3.4 Information we do NOT collect

  • We do not collect Social Security numbers, government ID numbers, or full payment card numbers
  • We do not collect health information
  • We do not request or store passwords for your other accounts (Google, Meta, etc.) — we use OAuth/token-based authorization

4. How we use your information and our legal bases

We use personal information for the following purposes. Where applicable law requires a legal basis (GDPR, UK GDPR, LGPD), we identify it below.

Automated decision-making. Our AI agents make automated decisions when generating Google Business Profile content, drafting responses to reviews, and creating social media posts. These decisions do not produce legal or similarly significant effects on you. You can request human review by contacting support@agentez.com.

5. SMS / Text Messaging

Agentez offers SMS text notifications to business owners who use our platform. This section describes how that program works.

Opt-in. SMS consent is optional and is never a condition of using the Service. You opt in within the Agentez web app: in your profile settings you enter your mobile number and check a consent box (unchecked by default) agreeing to receive SMS notifications about your account activity.

What we send. Account notification messages such as a new review on your Google Business Profile, a new lead in your Leads Manager, a new comment on a connected social post, or an overdue invoice in your CRM. Each message contains a short generic alert and a link to the relevant section of the app.

Frequency and rates. Message frequency varies based on your account activity. Message and data rates may apply.

Opt-out and help. You can reply STOP to any SMS message to unsubscribe at any time, and HELP for assistance. You may also contact support@agentez.com.

No sharing of SMS opt-in data. Mobile information will not be shared with third parties or affiliates for marketing or promotional purposes. All categories of personal information exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties. SMS opt-in consent is used solely to deliver the account notifications you requested and is not sold, rented, or shared.

Our SMS messages are delivered through Twilio. Twilio acts as our service provider and processes message data on our behalf to deliver the texts you have opted in to receive.

6. Email messaging

We send two types of email:

  • Transactional / service emails (account, billing, and service notifications) are delivered through Resend.
  • Marketing emails (product updates, tips, and promotions) are delivered through Brevo and are sent only with your consent. Every marketing email includes an unsubscribe link, and you can withdraw consent at any time.

7. Who we share your information with

We do not sell or rent personal information. We share data with the following categories of recipients, under written agreements that require them to protect your data:

We do not share your customer data (data about your customers that you upload) with any third party except as needed to deliver the specific service you requested.

As noted in Section 5, SMS opt-in data and consent are never shared with any third party for their own purposes.

8. Your rights and choices

8.1 Universal rights

Regardless of where you live, you can:

  • Access the personal information we hold about you
  • Correct inaccurate information
  • Delete your account and data (subject to legal retention requirements)
  • Withdraw consent for marketing communications

To exercise these rights, email privacy@agentez.com. To stop SMS messages, reply STOP to any Agentez text. To stop marketing emails, use the unsubscribe link in any marketing email.

8.2 If you are in the European Economic Area, United Kingdom, or Switzerland (GDPR / UK GDPR)

You also have the right to:

  • Restrict processing
  • Data portability (receive your data in machine-readable format)
  • Object to processing based on legitimate interests
  • Lodge a complaint with your local supervisory authority

8.3 If you are in California, USA (CCPA / CPRA)

You have the right to:

  • Know what personal information we collect, use, disclose, and sell or share
  • Delete your personal information
  • Correct inaccurate personal information
  • Opt out of the sale or sharing of personal information (we do not sell personal information)
  • Limit use and disclosure of sensitive personal information
  • Non-discrimination for exercising your rights

We do not knowingly sell personal information of consumers under 16. To exercise CCPA rights, email privacy@agentez.com.

8.4 If you are in Brazil (LGPD)

You have rights of confirmation, access, correction, anonymization, portability, deletion, information about sharing, and revocation of consent.

8.5 Opting out of messages

  • Reply STOP to any Agentez SMS to opt out of all SMS notifications
  • Reply HELP to any Agentez SMS for assistance
  • Use the unsubscribe link in any marketing email to opt out of marketing emails

We honor all opt-out requests promptly and within the timeframes required by applicable law.

9. International data transfers

We may transfer your personal information to countries other than the one you live in, including the United States, the European Union, and Costa Rica. When we do, we use one or more of the following safeguards:

  • Standard Contractual Clauses approved by the European Commission and the UK ICO
  • Adequacy decisions where applicable
  • Your explicit consent for specific transfers

11. Data retention

We retain personal information only as long as needed:

After these periods we delete or anonymize the data, unless a longer retention is required by law.

12. Security

We use industry-standard safeguards including encryption in transit (TLS 1.2+) and at rest (AES-256), access controls, audit logging, regular vulnerability scanning, and employee training. No system is 100% secure. If we discover a personal data breach affecting you, we will notify you and applicable regulators without undue delay and within the timeframes required by law (e.g., 72 hours under GDPR).

13. Children's privacy

Agentez is intended for use by businesses, not individuals under 18. We do not knowingly collect personal information from children under 13 (or under 16 in the EEA / UK). If you believe we have collected such information, contact privacy@agentez.com and we will delete it.

14. Changes to this policy

We may update this Privacy Policy from time to time. When we make material changes, we will notify you by email, by an in-Service notice, or by updating the "Last updated" date and prominently posting the change. Your continued use of the Service after the change becomes effective means you accept the updated policy.
